Online Registration Procedures

This is our second year using online registration through the Infinite Campus Parent Portal. Applications for Kindergarten students and existing HCPS students will open for enrollment beginning April 26, 2021. All other new student enrollment applications will be open, however, they won’t be processed for enrollment until after June 1, 2021. This year we are excited to announce that another form has been added to Parent Portal to make it easier for our guardians to get their child ready for the next school year, the Meal Benefits Application. Because HCPS is a district in which all students receive free breakfast and lunch, this application is required to determine eligibility for additional benefits such as free/reduced fees. 

Below you will find helpful information to get you started with this process. Please note that when enrolling or updating any student information, make sure you choose the 2021-2022 school year option.

Tips/Troubleshooting:

  • Only a parent/guardian may complete online registration.

  • Guardians must use Campus Parent to register their returning student(s). (Link: https://kyede5.infinitecampus.org/campus/portal/henry.jsp)

  • If you forget your username/password you can access the Self-Help feature on the login screen. Please note that this is not accessible from the mobile app.

  • You will be able to create an e-signature PIN for use with the meal benefits application and future forms that will be added to the Portal.

  • Popup blockers must be turned off for you to complete Online Registration.

  • Older model phones/tablets may not allow you to complete Online Registration.

  • Preferred browsers are Firefox, Safari and Chrome.

  • If using a mobile device, please note that google forms open in new windows. Once the form is submitted you will need to return to the window with the online registration application.

  • If using a mobile device it is helpful to turn your mobile device sideways when filling out forms to see the complete sentences.

The registration process varies depending on whether you are enrolling a new student, updating an existing student, or a combination of both. 

If you are enrolling a new student, please access the section titled “New Students” and follow the outlined steps using the provided link.

If you are the parent/guardian of an existing student please access the section titled “Annual Update.” It is important to follow the steps outlined in order. 

 

 

Preschool and Early Entrance to Kindergarten

The Preschool Screening is a free service offered to parents who wish to enroll their 3 or 4-year-old child in Head Start or Preschool in the fall. The screening helps determine each child’s eligibility for the program. Areas that will be screened include vision, hearing, motor skills, concepts and language development. Children that are 3 or 4 years old by August 1st and reside in the Henry County School District are eligible for a screening. Screenings are held in April and/or May. The first year for primary school for HCPS begins with students who turn 5 years old on or before August 1 for the 2021-2022 school year. In accordance with KRS 158.031 (6), HCPS has established criteria for early entrance to Primary (P1), also known as Kindergarten, for students who have mastered kindergarten benchmarks before age 5.

 Criteria for Early Entrance (P1):

·       Child must be a resident of Henry County, Kentucky; and

·       Child must turn 5 years old between August 2nd and October 1st of the admission year; and

·       Child must score at or above the 85th percentile on the DIAL-R Assessment.

Parents/guardians who wish to have their child screened for Early Entrance to Kindergarten must schedule an appointment using the link below. Early Entrance screenings are held at the same time as preschool screenings. There is a place on the linked form to indicate that your student should be screened for Early Entrance.

KINDERGARTEN

Children who will be 5 years old on or before 8/1/2021 are eligible for Kindergarten enrollment with Henry County Public Schools. To enroll your Kindergarten student you will need to gather the following documents before beginning your online registration application. Failure to upload the required documents will result in your application being placed on “HOLD” and returned to the parent or guardian for completion.

REQUIRED: Proof of residency, official birth certificate (no hospital copies accepted), up-to-date Kentucky Immunization Certificate*, school entry physical*, eye exam* (completed by an eye doctor, not family physician), and dental exam*.  OPTIONAL: social security card

*all forms listed above are available at your student’s physician’s office 

Henry County Public Schools has an open enrollment agreement with neighboring school districts. If you live outside the HCPS district boundary and wish to enroll your child in HCPS you will be asked to complete the non-resident application as part of your online registration. 

If you don’t have any other students in HCPS and you need to enroll a new Kindergarten student please follow this link. If you have other students enrolled in HCPS you will need to complete the annual update for your current students and then enroll the new kindergarten student. Please gather the above mentioned information and proceed to the section titled “Annual Update” for links and other information.

 

NEW STUDENTS FIRST THROUGH TWELFTH GRADE

Henry County Public Schools welcomes your child and you to our district! To enroll your new student you will need to gather the following documents before beginning your online registration application. Failure to upload the required documents will result in your application being placed on “HOLD” and returned to the parent or guardian for completion.

REQUIRED: NEW students (1st - 12th grade): Proof of residency, official birth certificate (no hospital copies accepted), up-to-date Kentucky Immunization Certificate.*  OPTIONAL:  Report card or transcript from the student’s last school. If a copy is not provided and we must wait on the former school district to provide copies the enrollment can be delayed. Social security card (optional but must be provided after 8th grade to ensure earning of KEES money).

*the Kentucky Immunization Certificate is available at your student’s physician’s office

Annual Update for Returning HCPS Students

1.) E-Signature PIN Set-Up

Log in to Parent Portal; https://kyede5.infinitecampus.org/campus/portal/henry.jsp, and follow these steps:

  • Click on this icon in the upper right corner 
  • Select “Settings”
  • Select “Account Settings”
  • Verify that you have an Account Security Email (If you do not, you need to set this up at this time.)
  • Click “ADD” next to E-signature PIN
  • Create your unique PIN using the rules below and click the blue “Save” button at the bottom of the screen.

2.) Meal Benefits Application

The Meal Benefits Application is the application used to determine eligibility for free/reduced school fees. You only need to complete this application one time for your entire household. To complete the application follow these steps:

  • Select the three lines in the upper left hand corner of the portal.
  • Select “More”
  • Select “Meal Benefits”
  • Follow the prompts through the application. There are several screens and steps
  • Please gather your household income information (before deductions) to be able to accurately complete the form.

3.) Online Registration (Annual Update)

Each year students are required to have an enrollment application completed. The information you provided during last year's Online Registration will be carried into the new application. You will have the ability to make changes if needed while completing the application. Some grade levels have required documentation to continue with the enrollment process. Failure to upload the required documents will result in your application being placed on “HOLD” and returned to the parent or guardian for completion.

  • Incoming kindergarten students (previously enrolled in HCECC/Preschool) - REQUIRED: new school entry physical, up-to-date Kentucky Immunization certificate, dental exam.
  • Incoming 6th grade students - REQUIRED: new school entry physical, up-to-date Kentucky Immunization certificate.
  • Incoming 11th grade students - REQUIRED: up-to-date Kentucky Immunization certificate.

If you need to enroll a new kindergarten student that was not previously enrolled in HCECC/Preschool you will need to gather the following documents before beginning your online registration application. Failure to upload the required documents will result in your application being placed on “HOLD” and returned to the parent or guardian for completion.

If you currently live outside the HCPS district boundary and your student was considered a non-resident you will be able to complete the annual renewal application as part of online registration. If you have moved outside the HCPS district boundary and wish for your student to continue enrollment with HCPS you will need to complete the application for non-resident enrollment available through online registration. 

 To complete the required annual update please follow these steps.

  • Click on the 3 lines in the upper left corner. Select “More.” 
  • Select Online Registration
  • Choose Existing Student Registration 
  • Your student(s) information will appear here. Select “Begin Registration” 
  • Click the button at the bottom of the screen “CLICK HERE TO BEGIN”

If you have students enrolled in HCPS you will need to complete the annual update for your current students and then enroll the new kindergarten student. Please gather the above mentioned information and proceed to the section titled “Annual Update” for links and other information.
